Your main tasks:

  • Be the Strategic Right Hand: Anticipate needs, manage competing priorities, and enable your leaders to focus on what truly matters. Assist in achieving goals through accountability board.
  • Leadership Calendar Ownership: Oversee the annual leadership calendar—business reviews, strategy sessions, internal communication touchpoints and talent development.
  • Meeting & Event Management: Orchestrate leadership meetings (virtual, hybrid, and in-person)—from agenda design and logistics to minutes and follow-ups.
  • Presentation & Communication Excellence: Craft high-quality, executive-ready presentations, webcasts, newsletters and internal messages that inspire clarity and engagement.
  • Executive & Team Support: Manage travel, expenses, approvals, and inboxes with accuracy/Concur system/, discretion, and a proactive mindset.
  • Leadership Team Integration: Actively participate in leadership team meetings—document decisions, track actions, and foster collaboration across functions.
  • Digital & AI Enablement: Leverage AI tools (Microsoft Copilot, ChatGPT) and collaboration platforms (SharePoint, Teams) to drive efficiency and innovation.
  • Office Leadership: Be the point of contact for executive visits and local operations—ensuring an environment where leadership can thrive.

Your ideal background:

  • 5–7+ years of experience supporting senior executives in an international, fast-paced environment.
  • Strong organizational, communication, and project management skills.
  • Fluent English (written and spoken); strong command of German.
  • Advanced Microsoft Office (Outlook, PowerPoint, Excel) and collaboration tool skills (Teams, SharePoint).
  • A natural connector-skilled at building relationships, fostering alignment, and driving follow-through.
  • Experience handling confidential information with integrity and discretion.
  • Curiosity and openness to AI-powered productivity tools.
  • A degree in Business Administration, Communications, or related field preferred.
  • Project management knowledge.
