Job Overview

We are looking for a Senior Executive Assistant in our HQ in Schaffhausen, Switzerland 100%

TE Connectivity's Administrative Support Teams are responsible for office administration and daily clerical duties including basic schedule planning, travel arrangements, documentation, and file maintenance. Other responsibilities include scheduling conferences/meeting rooms and responding to general inquiries. They create and maintain office documentation and files and review drafts and finished internal/external communication documents.

The Personal Assistant (PA) will provide high-level direct administrative support to the Industrial Sub-Vertical/Function VP & GM/Head and Sub-Vertical/Function staff. The EA plays a central role in supporting the Industrial Sub-Vertical/Function. Success in this position requires a proactive approach to anticipating and meeting the needs of the Executive Team and, equally, becoming a critical “go-to” person for the broader organization to liaise with the senior team. We’re looking for an EA who is a self-starter, focused on results and committed to making a difference. 

What your background should look like:


•    Manage complex calendar for several executives, solve problems in case of meeting conflicts
•    Continuous review and prioritization of executive’s email and other correspondence
•    Maintain presence and connection with executives’ direct reports and respective team
•    Arrange and coordinate complex international and domestic travel arrangements including visa applications
•    Coordinate and arrange meetings and schedules, on-site and off-site meetings, and webcasts
•    Plan, organize and coordinate logistics (travel, hotel, catering,) for off-site meetings, conferences, events
•    Answer and screen telephone calls
•    Maintain electronic records and SharePoint / Teams sites
•    Manage sensitive and proprietary information with discretion and confidentiality
•    Submit and review Expense Reports
•    Support and track approvals for travel requests, purchase requisitions, CERs
•    Create PowerPoint presentations
•    Maintain organizational charts for the global teams
•    Type, edit and proofread documents and correspondence
•    Draft correspondence, edit documents and take minutes/action items from the meetings
•    Follow- up on meeting minutes or action items with the action owner, monitor progress and flag deviations
•    Support on-boarding of new employees 
•    Organize office and files

Your profile:

•    Minimum 5+ years in an administrative capacity in a large corporation, ideally in a global environment with a complex matrix structure; Executive Assistant’s experience preferred
•    Proven track record of working independently, prioritizing tasks, handling multiple assignments accurately
•    Above average written and verbal communication skills required; fluency in English (C1/C2)
•    Strong skills in Microsoft Office suite – Outlook, Word, Excel and PowerPoint    

•    High level of confidence, integrity and motivation
•    Must be able to multi-task and work well under pressure as well as proactive, responsive and resourceful
•    Highly flexible and motivated individual with an ability to work independently as well as in a team setting
•    Must consistently demonstrate the highest level of professionalism and discretion
