Job Overview

We are seeking a motivated and detail-oriented Administrative Support professional to provide comprehensive assistance to the Senior Director of HR. The ideal candidate will be responsible for delivering high-level administrative support, contributing to HR projects and reporting, and coordinating events across the APAC/China region.

Job Requirements

  1. Administrative Support:
    • Provide full administrative support to the Senior Director, including calendar management, travel arrangements, visa processing, and expense reporting.
    • Organize and coordinate meetings, conferences, and internal events, managing all logistics to ensure smooth execution.
    • Prepare meeting agendas, consolidate presentation materials, take minutes, and track action items to ensure follow-through and effective communication.
    • Coordinate schedules and logistics for HR senior leaders as required.
  1. Event Organization:
    • Organize the APAC/China HR Conference, including logistics, scheduling, and follow-up actions post-event.
    • Assist in planning and executing engagement activities, coordinating with vendors and stakeholders.
    • Provide support for the logistics of team events, ensuring all necessary arrangements are made.
  2. HR Reporting and Projects:
    • Conduct ad-hoc people data analysis, providing insights and data visualization.
    • Assist in executing HR projects as directed by the Senior Director, managing timelines and deliverables effectively.
    • Liaise with various teams and HR stakeholders to gather data and produce necessary reports.
    • Undertake other related duties and manage projects as assigned by the Senior Director.

What your background should look like

  • Bachelor’s degree in human resources, Business Administration, or a related field preferred.
  • Over 3 years of proven experience in an administrative support role, preferably within HR.
  • Fluent in English, both spoken and written.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Strong communication skills for interaction with various stakeholders.
  • Experience in event planning and project management is a plus.
  • Knowledge of HR metrics and reporting standards is preferred.
