Job Overview

As a Facilities Admin, you will support the day-to-day management of manufacturing facilities by coordinating maintenance activities, liaising with contractors and external stakeholders, monitoring project and service delivery progress, and ensuring compliance with company policies and regulatory requirements. You will maintain accurate facility records, oversee vendor documentation, and contribute to creating a safe, efficient, and well-maintained working environment for all employees.

Job Requirements

•    Maintaining rapport with key stakeholders and providing suggestions in developing and updating administrative policies, procedures, and guidelines to guide employee actions.
•    Collaborating cross-functionally to understand their needs and interdependencies and aligning administrative processes with corporate strategies and goals.
•    Evaluating existing administrative systems and processes, making necessary improvements, and developing best practices documentation.
•    Providing support and guidance on major administrative activities and procedures; managing the administrative team and associated budget.
•    Document filing and records management
•    Preparation and Support of overall facility issuance of Purchase request (Raise PR) in SAP & Snow system
•    Follow up on issuance of Purchase Orders
•    Preparation and follow up of Good Receive (GR) to warehouse for invoice and payment processing
•    Meeting room bookings
•    Visitor management
•    Coordination of office supplies and stationery
•    General office coordination and support to Facility Technician and department
•    Perform any other duties assigned by the Superior from time to time.
 

What your background should look like

  • Diploma/Bachelor’s degree in Business Administration or related field.
  • Minimum 3-5 years of relevant facility/manufacturing experience.
  • Proven experience in an administrative or office support role, preferably within a manufacturing or industrial setting.
  • Strong organisational and time management skills with the ability to prioritise multiple tasks effectively
  • Excellent written and verbal communication skills in English and Malay
  • Proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint
  • Attention to detail and accuracy in all administrative tasks
  • Ability to work independently and as part of a team in a fast-paced environment
  • Strong customer service orientation when dealing with internal and external stakeholders
  • Familiarity with office management systems and filing procedures
