Executive Assistant / HR Solutions Partner

Job Overview

As a direct report of the VP, Global HR Solutions and matrix to the Director, PMO and Org Readiness, the ideal candidate must operate as an integral part of the HR Solutions team and provide ad hoc project support for the Organizational Readiness function, the HR Program Management Office and play a key role in ensuring projects and initiatives meet objectives of the global HR organization.  The candidate will be responsible for coordinating global HR meetings, arranging domestic/international travel, managing the management operating system (MOS) and providing general administrative support to the VP HR Solutions and Director PMO and Org Readiness.

Responsibilities include:

Executive Support:

  • Calendar management for the leader supported
  • Schedule executive level conference calls, telepresence meetings, in-person and off-site meetings.
  • Schedule and organize routine meetings including staff calls and global town halls.
  • Arrange and coordinate complex domestic and international travel arrangements for the VP; expense reporting and reconciliation.
  • Anticipate needs and prepare materials needed for conferences, events, meetings, travel, etc.
  • Create, edit, and proofread executive level documents, PowerPoint, and other correspondence.
  • Manage sensitive and highly confidential, proprietary information with discretion and the utmost confidentiality.
  • Create and manage Purchase Orders and vendor payment invoicing for the HR Solutions team.
  • HR Suite security permissions and office supply orders.
  • Assist with planning and logistics for Global HR meetings.

Additional Duties

  • Change Management support: Develop internal communications to obtain awareness, understanding, buy-in and support for business change.
  • HR Project management support: Assist on projects to prepare the organization and key stakeholders for HR initiatives

  • Ability to deal with complexity and ambiguity within a large global, matrix organization. 


Requirements:

  • Bachelor’s degree in Communications, Business, Human Resources, or related field; 3+ years in an administrative capacity; large corporation experience desired and preferred.  Master’s/MBA welcome.
  • Demonstrated ability to effectively build executive level presentations.
  • Strong skills in Microsoft Office Suite -- Outlook, Word, Excel, and PowerPoint.
  • Domestic/International travel coordination and expense reporting using Concur Travel Tool preferred.
  • Experience with SAP Finance preferred.
  • Experience with SharePoint and Microsoft Teams plus.
  • Must be able to multi task and work well under pressure to meet deadlines in timely manner
