Job Requirements
Business Reviews (MBR & QBR)
- Prepares agendas and structures the flow of Monthly and Quarterly Business Reviews.
- Collects input from multiple stakeholders, ensuring content aligns with defined guidelines and presentation standards.
- Ensures consistency, clarity, and professional formatting across all presentation materials.
- Coordinates timelines and works closely with Finance to deliver complete QBR decks on schedule.
- Maintains and manages the action tracker for MBRs and QBRs, ensuring timely follow‑up on all actions.
Management Operating System (MOS)
- Owns and manages the annual Management Operating System (MOS) calendar.
- Ensures all recurring leadership routines are planned, aligned, and visible throughout the year.
- Coordinates MBRs, staff meetings, and other key leadership sessions to maintain a clear and effective leadership cadence.
Staff Meetings
- Organizes bi‑weekly staff meetings, including agenda preparation, collection of team updates, and action tracking.
- Leads the planning and coordination of quarterly face‑to‑face staff meetings, including content preparation and post‑meeting follow‑ups.
Webcasts (PRS & Engineering)
- Manages end‑to‑end preparation for PRS and Engineering webcasts, including invitations, timelines, material collection, and technical readiness.
- Provides live session support and moderates webcasts when required.
- Processes webcast recordings after the session, including trimming, uploading to the intranet, and distributing recordings via email.
Intranet & Internal Communications
- Maintains and updates the PRS intranet page with announcements, documents, webcasts, newsletters, and other key content.
- Supports internal communication initiatives by publishing announcements within the sub‑vertical.
- Holds full ownership of the PRS newsletter, including content collection, deadline management, layout, and final publication.
Process Improvements & Automation
- Leads the implementation and ongoing improvement of an automated action tracker to reduce manual effort and improve usability.
- Actively identifies opportunities to streamline reporting and communication processes related to leadership meetings.
Two‑Way Communication Initiatives
- Supports initiatives aimed at strengthening two‑way communication across the organization.
- Contributes to planning, structuring, and preparing communication materials to improve employee engagement and feedback flow.
Additional Executive Support
- Provides administrative support beyond the primary executive, including travel coordination, expense management, distribution lists, and ad‑hoc requests.
- Supports SharePoint updates and ensures key information remains current and accessible.
Your ideal background:
- 5–7+ years of experience supporting senior executives in an international, fast-paced environment.
- Strong organizational, communication, and project management skills.
- Fluent English (written and spoken); other European languages are a plus.
- Advanced Microsoft Office (Outlook, PowerPoint, Excel) and collaboration tool skills (Teams, SharePoint).
- A natural connector—skilled at building relationships, fostering alignment, and driving follow-through.
- Experience handling confidential information with integrity and discretion.
- Curiosity and openness to AI-powered productivity tools.
- A degree in Business Administration, Communications, or related field preferred.
- Project management knowledge
