Job Overview

To support the Senior leadership team and own responsibilities for various activities performed by MD’s office. To collaborate and co-ordinate with team members and various stake holders such as BU’s GM, Operations Leaders, Functional Leaders and external stake holders such as Banks, Trade & Industry bodies and TE corporate team to ensure timely completion of various activities.

A highly organized and proactive Executive Assistant, with proven ability to support senior executives by managing schedules, coordinating meetings, handling confidential information, and ensuring smooth day-to-day operations. Skilled in calendar management, travel coordination, stakeholder communication, and administrative leadership. Known for anticipating executive needs, prioritizing tasks effectively, and maintaining high levels of professionalism and discretion.

Possesses strong communication, problem-solving, and multitasking abilities with a keen attention to detail. Adept at coordinating cross-functional teams, preparing reports and presentations, and managing complex logistics for meetings, board interactions, and corporate events.

Committed to improving executive productivity by streamlining administrative processes and ensuring efficient information flow across the organization.

The role while primarily focuses on business support, the individual would have the opportunity to expand his/her scope in future in other areas like Finance, Communications, CSR, subject to relevant qualifications, experience and interest

Job Requirements

  • Collaborate with internal and external colleagues for appointments, meetings and follow-ups. 
  • Coordinate with Admin team and Assist MD with Travel, Hotel bookings, Logistics and concur expense filing
  • Organize monthly India Leadership meetings and Finance quarterly meetings
  • Co-ordinate and manage local and global corporate visitors – Agenda preparation, conference room bookings, sending meeting invites, assist with travel and logistics
  • Organize and manage end-to-end planning of Annual finance and other leadership offsite meetings including Venue selection, Travel & logistics coordination, Agenda preparation and execution
  • Liaise with banks on placement of FDs, negotiate interest rates, bank account opening, closure, KYC renewal, update addition/ deletion of authorized signatories to banks , execute correspondence, update treasury bank portal, record maintenance.
  • Liaise with PN Writer for record retention and extraction
  • Renew annual memberships with Industry bodies like BCIC, CII, ISCE, IMA, etc.

Desired Candidate Profile

EDUCATION/KNOWLEDGE

  • Commerce graduate/ Post-graduate/ MBA (Finance or related) from reputed university OR
  • Bachelor’s degree/Certifications in Mass Communication

CRITICAL EXPERIENCE

  • Minimum 10 years’ work experience in an MNC in a similar role
  • Excellent communication, Interpersonal and execution skills
  • Extensive working in MS Office is a must
