Job Overview

TE Connectivity's Administrative Support Teams are responsible for office administration and daily clerical duties including basic schedule planning, travel arrangements, documentation, and file maintenance. Other responsibilities include scheduling conferences/meeting rooms and responding to general inquiries. They create and maintain office documentation and files and review drafts and finished internal/external communication documents.

Position Overview:   

 

The Marine Personnel Department is located in Baltimore as part of Transoceanic Cable Ship Co, a wholly owned subsidiary of TE SubCom and works directly with the Cable Ships to maintain a manning level of Marine Crew on board each Cable Ship for operations.

 

All of Marine Personnel reports to Mary Poff, Senior Manager of Marine Personnel and then to Scott Winfield, Director, Fleet Operations & Labor.

 

The Marine Personnel Intern will be expected to assist with daily operations in Marine Personnel, that will include but not be limited to filing, creating crew lists, scheduling exams, checking crew documentation for accuracy, and attending meetings.

Responsibilities

 
•Essential Functions:
◦Arrange/plan crew changes in advance, checking availability of crew and compliance of all certifications/qualifications for all crew on assigned vessels, using most cost effective and convenient travel routes and insuring all crew certification is complete and valid at all times to meet crew change schedules.
◦Source crew from various labor unions/manning agencies when required to fill vacancies.
◦Obtain any flag state certification as required; insuring licenses are valid at all times for crew.
◦Conduct background checks for all newly hired personnel.
◦Insure that personnel files and all crew certifications are kept up to date and are uploaded into proper databases/locations (PayPers/Marpers).
◦Liaise with vessel Captains, Ship’s Officers, and Senior Manager of Marine Personnel on crew change schedules, visa requirements and relief names.
◦Liaise with Industrial Personnel (IP) department heads and Permitting teams to develop and submit detailed and timely permit crew lists/documentation for project coordination.
◦Arrange/schedule any crew medical exams, visas, vaccinations or additional training as required.
◦Participate in weekly/biweekly meetings with the Operations Manager, Senior Manager of Marine Personnel, and other team members.
◦This position interacts with labor unions/manning agencies-AMO, SIU, Scanmar (US and foreign), ship’s personnel (Captains, Chief Mates, etc.), ship’s agents (US and foreign), USCG/National Maritime Center, Republic of the Marshall Islands, American Maritime Safety (AMS), National Medical Systems (NMS), Griffin Stone (travel agent), Marine Payroll, Fleet Operations, Visa Agencies, and other TE SubCom departments. 

Qualifications

 
•Strong computer and administrative skills (proficiency in MS Office applications; e.g. Word, Excel, Power Point, as well as, Adobe Acrobat).
