Executive Assistant (Part-Time)

Job Overview

The Executive Administrative Assistant will provide high-level, direct administrative support to the Vice President, Internal Audit.  This individual plays a central role in supporting the Internal Audit department team members.  Success in this position requires a proactive approach to anticipating and meeting the needs of the team.  We are looking for an individual who is a self-starter, focused on results, and committed to making a difference.



Working 20 hours per week:

  • Manage VP’s calendar; coordinate and arrange meetings and schedules.
  • Work with an international team of senior leaders across time zones
  • Schedule conference calls, onsite/offsite meetings, telepresence meetings, and webcasts.
  • Arrange and coordinate complex domestic and international travel arrangements.
  • Prepare and submit VP’s expense reports and review expense reports for others.
  • Type, edit and proofread audit reports, PowerPoint presentations, and meeting material.
  • Assist with onboarding/offboarding of team members.
  • Prepare and maintain organization charts and headcount data.
  • Coordinate and maintain memberships to the Institute of Internal Auditors.
  • Maintain and track progress against annual audit plan.
  • Issue audit reports and populate AutoAudit system with corrective action plans.
What your background should look like:

Experience & Qualifications:

  • 5+ years in an executive administrative capacity; large corporation executive assistant experience preferred
  • Highly flexible individual with an ability to work independently as well as in a team setting
  • Must consistently demonstrate the highest level of professionalism and discretion; ability to manage confidential and sensitive information
  • Strong interpersonal skills with ability to interact well with all levels
  • Must be, responsive and resourceful
  • Detail oriented with exemplary organization skills
  • Advanced written and verbal communication skills
  • Advanced Microsoft Outlook, PowerPoint, Excel, and Word skills
