Job Overview

The GATD administrative assistant is a key role enabling the global Leadership and North America Field Service teams to function at a high level. 

Our North American Field Service team relies on this role to ensure high levels of responsiveness and accuracy to our customers.  In addition, as a key member of our global leadership staff the administrative assistant ensures the Leadership team operates efficiently through effective management of time and travel.  This role also provides strong support for our employee engagement activities.  The ideal candidate is customer focused, highly organized, detail oriented, has strong interpersonal skills and have a passion for helping others to be successful.

Responsibilities & Qualifications

Responsibilities

  • Field Service Customer Contract Coordination
  • Field Service and Tool Repair Orders and Billings (via SAP)/Field Report Processing
  • Insurance Certificates Requests
  • Process checks when received/follow-up on credit card billings
  • Fulfill inventory requests as needed
  • Generate TECH (quality) reports
  • Training certificate creation and coordination for classes conducted by Field Engineers
  • Generate ATS (Authorization to Ship) requests/Arrange for miscellaneous shipping
  • Process new and temp cardkey requests and process Internal Contact System updates
  • Coordinate sales, marketing, field service and leadership meeting events including hotel coordination, venue and catering details, etc.
  • Establish leadership team meetings; gather agenda items, manage conference room requirements and maintain follow up action items on shared site
  • Coordinate quarterly webcast arrangements
  • Travel and expense reporting for North America leadership team members
  • Maintain efficient office supply inventory
  • Responsible for divisional Pcard orders and expense reporting
  • Consolidate monthly report and newsletter inputs and review with General Manager before distribution
  • Maintain divisional org charts
  • Support onboarding of new hires – badge, name plate, distribution lists

Minimum Requirements

  • 7+ years in an administrative capacity; large corporation executive assistant experience desired and preferred.
  • Strong written and verbal communication skills required.
  • Strong skills in Microsoft Office suite -- Outlook, Word, Excel, and PowerPoint.
  • Ability to work in a fast-paced environment while adapting to changing deadlines and priorities.
  • Demonstrated experience working independently, prioritizing work and handling simultaneous assignments with success and accuracy.
  • Detail oriented with exemplary organization skills.
