Job Overview

The Administrative Support plays a critical role in keeping our Luxembourg based Legal Team operating effectively. This position provides administrative support for the Assistant General Counsel, and serves as a liaison with internal and external parties. The main objective is to increase productivity and responsiveness of the Executive.

Responsibilities:

  • Plans, organizes, and coordinates meetings, conferences, business seminars, luncheons and other corporate hospitality events
  • Schedules and coordinates meetings and assists in making travel arrangements.
  • Working with local teams to prepare for country and customer visits (briefing etc.).
  • Prints e-mails and documentation for Executive, organizes DHL/Fedex sending and receipts.
  • Draft correspondence, edits documents and takes corrections from manager in new version of documents
  • Creates, maintains, and updates various databases and reports and present data for management reporting purposes
  • Analyzes and produces high end management reports
  • Business development support activity including telephone liaison with business intermediaries
  • Perform other related duties and managing projects as assigned
  • Contributing to creating a positive environment for effective team communication
     

What your background should look like:

  • Educational Degree – Either current Personal Assistant or holds a university degree
  • 1+ years in providing administrative support to senior executives
  • Excellent verbal, written, interpersonal communication and customer service skills required
  • Highly organized and detail-oriented
  • Advanced knowledge of computers, internet and software (MS Office)
  • Background and understanding of forecasting
  • Demonstrated ability to manage multiple tasks and meet deadlines
  • Ability to effectively develop cohesive relationships with internal and external management, employees, vendors and visitors
  • Fluent in English; good knowledge of additional European languages is an asset.
